Is this meant to replace my existing receptionist?

Not necessarily. Our AI Receptionist is designed to support your existing front desk staff by handling overflow, after-hours, or repetitive calls so your team can focus on more valuable tasks.

How human-like is the voice?

Very. The AI speaks clearly, uses natural tone and inflection, and is trained to sound friendly and professional. It can also express empathy, offer reassurance, and pause naturally during conversations.

Can an AI Receptionist provide personalized communication to our clients like our current receptionist?

Honestly, No - not the extent that a human receptionist would know personal information about the client/caller and can have multi-level contextual conversations. However, the AI Receptionist is superior technically like identifying names, order history, upcoming appointments in real time, etc.

Can it book appointments?

Yes. Our AI Receptionist can book appointments in real time by sharing available calendar slots or even text/email links to 3rd party calendars for a caller to book on their own.

Can I customize the greeting and responses?

Absolutely. You can define how the AI answers, what it says, and how it routes calls or handles questions. We’ll set all this up during onboarding.

What happens if the caller asks something the AI can’t answer?

The AI Receptionist can handle this any way you want. Typically will either offer to take a message or route the call to a human (via voicemail or live transfer, based on your preference). You’ll never lose a lead.

Does it support multiple locations or departments?

Yes. We can configure different greetings, call flows, or calendars for each location or department. You can choose to configure a single agent for a single location or multiple agents managed by a master single agent.

Can an AI Receptionist handle multiple languages?

We can build an AI Receptionist in any of the 7 supported languages, including English, German, French, Spanish, Portuguese, Italian, and Dutch. For a Multilingual AI Agent that can switch languages, contact our sales.

Can you integrate with our Point of Sale (POS) System?

I see some tools in your system I’d like to use/customize for my business. How do I get started?

In some cases, our system already has several built-in tools which you can utilize either as part of your subscription or with an additional fee. The additional configuration will be quoted on a case to case basis. It’s best to email us to discuss your needs.

Can you develop a Custom Integration/Workflow for my specific business needs?

Absolutely! Please email us with your needs and get a time/cost estimate.

Pricing

How much does it cost?

One Time Setup $999.

Monthly Charges $299 + Usage Fees (texts, calls, workflows and if you use any additional features)

How will we get charged?

The One Time Setup fee is payable at sign-up. The Monthly Subscription and Usage Charge starts after 15 days.

What are the Payment Terms?

You would get charged at the beginning of your billing cycle to your card on file.

What are the Payment Modes available?

You can pay using any card which is subscribed and set to charge through Stripe Payment Gateway.

Can we pay using another payment method?

You can pay the One Time Setup Fees and Monthly Subscriptions through ACH or Wire Transfer. However, we still need a card on file (through Stripe) for the usage charges. To learn more, please email [email protected].

Do you have any discounts for annual payments?

Yes - You get 20% off if you pay annually.

Do I get any free call minutes?

No, but you pay only for what you use. Our monthly plan is cheaper than most competitors because we believe in transparent pricing.

Do you offer discounts to Educational Institutions or Non-Profit?

Yes, we do offer a flat 10% off. Please reach out to [email protected] to learn more.

What is the Wallet?

Our system ‘recharges’ your wallet for an amount (for e.g. $25) which is used to pay for your usage charges like calls, texts, AI usage, etc.

What is an Estimated Amount I can expect to pay every month?

Monthly Subscription @ $299 + Usage charges.

The usage charges vary but here’s an example: If you receive 1,000 calls which lasted 3 minutes on average, then you’re charged for 3,000 minutes @ $0.02/minute = $60. Similarly, there are charges for texts, workflow, whatsapp, line rental, etc - all coming out of the ‘Wallet’ you have with us. For more details, please see Pricing.

Onboarding & Ongoing Optimization

What is the onboarding process and how long does it take?

After signing up, you will receive an email to schedule an onboarding call during which we understand your business objectives, challenges and collect necessary information to build an AI Receptionist, specific for your business. The onboarding team will schedule your next call to showcase the AI Agent for testing and feedback. Once satisfied, the AI Receptionist will be activated. Typically it takes 1-2 weeks unless there are complex workflows.

What does onboarding include?

1) Setting up an AI Voice Agent and Phone Number Setup.
2) Setting up an AI Chatbot and Website/Social/Text Integration.

3) Deploying our Built-In Automations & Workflows to suit your business

What happens after the AI Receptionist has gone live?

You’re entitled 1 Free Optimization Call and AI Receptionist Optimization Request every month your subscription is active. During this call, an AI Automation Consultant from our team will evaluate past month’s performance, understand if you’re facing any challenges and optimize the AI Receptionist for better productivity.

Is this HIPAA-compliant?

Yes. For healthcare providers, we offer HIPAA-compliant setup and secure call data handling. Let us know during onboarding and we’ll enable the appropriate safeguards.

Is my data secure?

Absolutely. We follow best practices in data security and privacy.

Contracts, Cancellations & Refunds

Are there any binding contracts?

No - your account (AI Receptionist Software-as-a-Service) will remain active as long as you have an Active Paid Subscription. You may choose to subscribe monthly or yearly.

How do I cancel?

Cancel your subscription anytime, at least 2 days before the next renewal date. Log in to your account under ‘Settings’ or email us at [email protected].

How do I get a refund?

Sorry we do not offer any refunds whatsoever.
